End-of-Day Reconciliation for Van Sales: A Step-by-Step Checklist

A practical end-of-day checklist for van sales teams: reconcile van stock, cash, cheques, returns and invoices before the rep leaves the depot, and stop month-end surprises.

SFA supervisor document report with invoice, payment receipt and return summaries.

Month-end surprises in van sales almost always start as small daily differences that nobody caught. A missing carton here. SAR 150 short there. A return that came back on the van but never got a credit note.

The fix is simple to describe and hard to do on paper: reconcile every van, every day, before the rep goes home.

Why daily reconciliation matters

  • Differences are small and fresh. The rep remembers what happened today. Next month, nobody does.
  • Accountability is clear. A difference is tied to one rep, one van, one date.
  • Stock stays accurate. Tomorrow's load is planned on real numbers.
  • Cash is safe. Money reaches the bank faster and leakage is caught early.

The reconciliation formula

For each product on the van:

Opening stock + loads + transfers in + returns from customers − sales − transfers out − unloads = expected closing stock

Then compare expected with physical. For cash:

Opening float + collections (cash) = cash to hand over

Cheques and transfers are listed separately and matched one by one.

The checklist

Before leaving the last customer

  • ☐ All visits for the day are checked in or marked as skipped with a reason
  • ☐ Every sale has a printed invoice
  • ☐ Every payment has a printed receipt
  • ☐ Any returns have a credit note

Sync

  • ☐ Phone has synced all pending invoices, receipts and returns
  • ☐ Sync status shows zero pending transactions
  • ☐ ZATCA submission status has no rejected or failed documents

Stock

  • ☐ App shows expected closing stock per product
  • ☐ Physical count of the van done with the storekeeper
  • ☐ Damaged and expired returns separated from saleable stock
  • ☐ Differences recorded with a reason
  • ☐ Unload of stock not staying on the van recorded

Cash and payments

  • ☐ App total for cash collected matches the cash handed over
  • ☐ Each cheque matched against its receipt (number, bank, date, amount)
  • ☐ Bank transfers confirmed or flagged for finance to verify
  • ☐ Cashier confirms receipt in the system

Close

  • ☐ Day closed in the app with end-of-journey time logged
  • ☐ Supervisor reviews and approves any differences
  • ☐ Tomorrow's load request prepared from today's closing stock

Common differences and what they usually mean

Difference Likely cause
Van short on stock, cash correct Item given without invoice, or a miscount at loading
Cash short, stock correct Receipt issued but cash not collected, or cash lost
Stock over Return taken without a credit note
Invoice count lower than expected Unsynced invoices still on the phone
Duplicate receipts Payment entered twice or a sync retried without proper protection

Most of these disappear once every action happens in the app, because the app is the record.

Make the app do the arithmetic

On paper, reconciliation takes 30 to 60 minutes per van and depends on the storekeeper's patience. In a good SFA app it takes minutes, because:

  • Opening stock comes from the load
  • Every sale, return and transfer is already recorded
  • Collections are already totalled by type
  • The rep only counts, and the app shows the difference

End-of-day in NobleSFA

NobleSFA includes end-of-day reconciliation as a standard step. Reps close the day by accounting for van stock and confirming payments, with day start, visits, deposits and end of journey logged automatically. Supervisors see differences per rep and per van on the dashboard, and the closing stock becomes the next day's opening stock.

Frequently asked questions

How long should van reconciliation take?

With an SFA app, around 10 to 15 minutes per van for the physical count and cash handover.

Who should do the reconciliation?

The rep and a storekeeper or cashier together, with a supervisor approving any differences.

What if the rep cannot reach the depot?

The rep can close the day remotely in the app and do the physical count and cash handover first thing next morning, with the supervisor's approval.

Should we allow tolerances?

Many distributors set a small tolerance for cash rounding. Stock differences should always be explained.
