How to Choose SFA Software: 12 Questions to Ask Before You Buy

Choosing sales force automation software? Use these 12 questions on offline mode, ZATCA, ERP integration, invoice numbering, support and pricing to compare SFA vendors.

SFA Reports Command Center showing sales, receivables, inventory and field operation reports.

Every SFA demo looks good. The dashboard is colourful, the sample route has perfect signal, and the invoice prints first time.

The difference between vendors shows up three months after go-live, on a real route, with a real rep, on a bad day. These twelve questions help you find that difference before you sign.

1. Can a rep run a full day completely offline?

Not "some features offline." The whole day: load, visits, invoices, receipts, returns and end-of-day reconciliation. Ask the vendor to put a phone in airplane mode during the demo.

2. Is it ZATCA Phase 2 compliant out of the box?

For Saudi businesses this is a must. Ask whether the app is certified or integrated with Fatoora, whether it generates the stamp and QR code on the device, and how offline invoices are submitted. See our guide on ZATCA Phase 2 for field sales for the details to check.

3. How does it guarantee unique invoice numbers?

This sounds technical. It is not optional. Ask what happens to numbering when a phone is reset, reinstalled or replaced, and how the app avoids reusing a number it already issued. Duplicate invoices are one of the most common and most painful problems in mobile invoicing.

4. How does it integrate with our ERP or accounting system?

Which systems are supported out of the box? Is it real-time or batch? What is the API like for custom systems? Who owns the integration if something breaks?

5. Does it support both van sales and pre-sales?

Even if you only do one today, you may need both tomorrow.

6. How is van stock managed?

Look for per-van stock, loads, unloads, transfers between vans and branches, and returns that update stock and the customer balance together.

7. What credit controls are enforced in the app?

Credit limits, credit days and cash-only customers should be enforced at the point of sale, with a clear override and approval flow.

8. What does the back office see, and how quickly?

Live map, visit tracking, sales, collections and stock per van. Ask how long it takes from a rep printing an invoice to a manager seeing it.

9. What happens when a phone breaks or is lost?

Ask about automatic backups, device replacement, restoring data and remote support. A vendor who has thought about this has run real deployments.

10. How are updates delivered?

Can you push new app versions to all reps from the back office? Can you see which version each device is running? Old versions in the field are a common source of bugs that were fixed months ago.

11. What support do we get after go-live?

Who do reps call at 7 a.m. when the printer will not connect? Is there on-ground support in your city? What is covered after the first month, and what does an annual maintenance contract include?

12. What is the real total cost?

Per-user fees, setup fees, integration costs, printer hardware, per-invoice charges for e-invoicing, and annual support. Ask for a full three-year cost, not just the monthly price.

A simple scoring sheet

Score each vendor from 1 to 5 on each question, and weight the ones that matter most to your operation. For most Saudi distributors, offline operation, ZATCA compliance, invoice integrity and ERP integration deserve double weight.

Question Weight Vendor A Vendor B Vendor C
Full offline day x2
ZATCA Phase 2 x2
Invoice numbering x2
ERP integration x2
Van and pre-sales x1
Van stock x1
Credit control x1
Back office visibility x1
Backup and recovery x1
Update management x1
Support x1
Total cost x1

Run a pilot before you roll out

The best test is two or three reps on real routes for two weeks. Measure time per visit, invoice errors, sync problems and how the reps feel about the app. Then decide.

How NobleSFA answers these questions

Frequently asked questions

How long does SFA implementation take?

It depends on the number of reps, integrations and data migration. A focused pilot can usually start within a few weeks.

What is the minimum team size for SFA?

There is no real minimum. Even one or two reps benefit from digital invoicing and collections.

Should we choose SFA built into our ERP or a separate app?

Either can work. What matters is field performance: offline operation, speed at the customer's door and reliable sync with the ERP.
